Welcome to Orchard Conference Center and Catering

Our mission is to provide you with an exceptional experience, amazing service, and a creative culinary event. Our professional staff is available to assist in planning your special event year-round.

Policies + Procedures

To ensure the optimal selection and the best possible service, we kindly ask that events be booked at least seven business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs.

Guest Counts

The number of guests must be specified 3 business days prior to the event. This number is considered the guaranteed guest count.

Event Staff

We will ensure your event is fully setup 15-30 minutes before guest arrival time, and we will return to pick up no later than 4 hours from event setup time unless an earlier pick up was requested. Staff is available to support your event if you prefer to have someone on-site at all times. Event staffing is billed with a four-hour minimum, at $35.00 per hour, each additional hour will be billed at the same hourly rate. Please ask our team for more details. 

Payment Terms

  • Payment in full is due within 30 days post-event.

  • 24 hours post-event you will receive the final catering BEO (banquet event order) and catering invoice.

  • A follow-up email will go out in week 3, if payment has not been received.

  • Delinquent accounts will be followed up starting in week 2, and every week thereafter.

  • Possible late fees for repeated delinquent accounts.

  • Catering for outside groups are required to pay a 50% deposit the day the event is booked.  The 50% balance is due the day of the event, before the event begins.  Payment with credit card and bankers checks are acceptable.  We cannot accept personal checks or business checks as payment.  If there are any add-ons the day of the event we can invoice the customer the add-ons once the event is over.

Cancellation

Please note that all cancellations must be made five business days prior to the contracted event date at no charge or penalty with the exception event staffing*. If a cancellation is requested 2-5 business days prior to your event there will be a 25% service charge to accommodate service and product expenses. Cancellations within 48 hours of your event will be billed fully regardless of products ordered (unless due to force majeure). changes and cancellations must be submitted by the requestor or event contact, no exceptions.

Food and Beverage Restrictions 

No food or beverages may be brought in or removed from the premises. all food and beverages must be consumed in the area in which it is served and must be provided by the orchard catering team. 

Delivery Charges

A minimum food & beverage order of $100.00 is required for any delivery. orders not meeting the minimum can still be delivered with a one time fee of $50.00. Off campus delivery charge of $50.00 will apply to orders under $200.00.

Taxes

A 9.5% sales tax will be charged on applicable items and services. Tax rates are subject to change depending on location.

Bar Charges

A $200.00 minimum sale is required for all bar services and bartenders will be billed for a minimum of 4 hours at $35.00 per hour. All beverages must be provided by the orchard catering team. For special events outside beverages can be brought in with approval and a corkage fee starting at $25.00 per bottle.
